A healthcare professional completes a survey, one of the most common tools used in needs assessments.

What is a Needs Assessment?

In medical communications, a needs assessment is the process of identifying and understanding the specific informational and educational needs, gaps, or challenges of a group of healthcare professionals (HCPs). These gaps can be identified through the development and implementation of data gathering tools like surveys, interviews, and questionnaires, highlighting opportunities to educate HCPs. Sometimes, a needs assessment might not identify gaps, but rather misconceptions or outdated knowledge that can be corrected or updated.

For HCPs specifically, a needs assessment can determine if they have any gaps in their medical or health practice. Healthcare is constantly evolving, and it can be easy for new research or methods in practices to fall through the cracks. Ultimately, needs assessments greatly benefit both the HCP and their patient, as they help HCPs and healthcare companies offer the most up-to-date care and treatments possible through well-designed CME programs

Why conduct a Needs Assessment

A needs assessment can be crucial for medical education managers for several reasons. It helps design accredited Continuing Medical Education programs by identifying knowledge gaps, ensuring that the content addresses the most relevant topics. It also informs scientific communication and key messaging for a medical affairs strategy, guiding how information is presented to stakeholders. A needs assessment could also inform data-driven decision-making in public healthcare policy and advocacy. It could also ensure that medical and marketing materials are aligned with the needs of healthcare professionals and patients, especially when pharmaceutical companies launch new products.

A needs assessment removes uncertainty for organizations aiming to make an impact in medical education by providing evidence-based insights into existing educational gaps. Through interviews, surveys, and data collection, you gain a clear understanding of where the gaps lie, allowing you to develop customized learning opportunities tailored to your target audience. This ensures that your content is not only evidence-based and addresses real gaps but also enables you to fine-tune communication strategies to reach the right audience. As a result, your educational programs will see improved engagement and effectiveness, all while supporting compliance with medical and regulatory requirements.

How to conduct a Needs Assessment

For a needs assessment to be a success, there are a few key components that must be included. One is the Target Audience Identification. Which specific group of healthcare professionals needs the information or education opportunity? For example, if the needs assessment is being conducted by a pharmaceutical company focused on developing diabetes medication, they may need to target endocrinologists in their region. Once you’ve identified your target audience, you can move on to Current State Analysis, which helps you and your team understand the existing knowledge on a certain topic and the current medical practices surrounding it. To properly conduct this analysis, you must undergo a Data Collection Process to gather insights of the topic’s current landscape. This is commonly done through surveys, advisory boards, and literature reviews. Finally, you can analyze this data and interpret it in order to identify impactful educational opportunities for your targeted group of HCPs.

CTC has designed an app called Industrii that can help with needs assessments, making it easier than ever to identify those gaps in knowledge in HCPs, key stakeholders, and patients. Designing HCP surveys and collecting results have traditionally been tedious and time-consuming, and many people will opt out of completing them. With Industrii, CTC has made this experience more engaging and user-friendly, increasing the reach of any surveys included on the app. Through Industrii, we’re able to reach over 12,000 HCPs with our needs assessments!

Industrii helps our clients gather diverse insights and new perspectives from customer groups, producing results that are more in-tune with the clients’ actual audiences.
